GENERAL RULES

After you have attended an interview,regardless of how you thought it went, it is imperative to send athank you note expressing appreciation to the interviewer(s) fortheir time and consideration. Generally speaking, following aninterview, send the note via email the same day or within 24 hoursof the interview. The purpose of this letter is to:

Show appreciation for the prospectiveemployers interest in your background and taking the time to learnmore about you.

Reiterate your interest in the position andin the organization.

Refresh the interviews memory about whatyou can bring to the employer and how you can value in thisposition. If need be, reiterate your qualifications for theposition. If you thought of something you forgot to mention in theinterview or feel something you discussed needed furtherclarification, mention it here in the thank-you letter.

Demonstrate that you have good manners andknow to write a thank-you letter.

Follow up with any information the employermay have asked you to provide after the interview.

DELIVERY CONSIDERATION

Thank-you letters/notes technically can beon a hard copy letter, a handwritten note or emailed. But for mostcorporate scenarios, I strongly recommend email.

E-mail is most acceptable nowadays and isthe best way to ensure a quick delivery of your gratitude,especially if other candidates are being interviewed in tighttimeframe. Specific benefits to emailing your thank you letter areif that has been your means of contact with the person you want tothank, or if your contact has expressed a preference for e-mail, oryou know your contact is travelling and will not have access tohard copy mail in a timely fashion. Typed hard copy are most formaland are often appropriate after an interview. I particularly likephysical letters to be mailed as a compliment to an email, Ensureeach letter has different content if you opt to send a typed hardcopy note to complement your email thank you note.

If you determine that your contact willappreciate a handwritten note, then by all means, send ahandwritten note. Handwritten are more personal, and can beappropriate for brief notes to a variety of individuals you mayhave met during an on-site interview.

I would consider express mailing a typedletter or handwritten note to ensure the speed needed for a thankyou note to be received is not lost on doing the letter/note in amanner than looks more formal or personal.

THE STAY ON THE RADAR EMAIL
Following Up After The Thank You Note Is Sent

At the end of your interview, yourinterviewer should have informed you of the organizationsfollow-up procedures: from whom you will hear from (is it the sameperson who interviewed you or someone else), by what communicationmedium (phone, mail, e-mail, etc.), and within what time frame youwould hear again from the organization. If the interviewer did nottell you, and you did not ask, use your follow-up / thank-youletter to ask.

If more than a week has passed beyond thedate when you were told you would hear something from the employer(and barring some major event in the news like a merger oracquisition or other event that would be taking employeesattention), it is perfectly acceptable to call or e-mail topolitely inquire about the status of the organizationsdecision-making process. Frankly, I think it is required todemonstrate your interest and abilities to follow-up as if youwould do so on the job.

A polite inquiry shows that you are stillinterested in the organization and may prompt the employer to geton schedule with a response. In your inquiry, mention thefollowing: name of the person who interviewed you, time and placeof the interview, position for which you are applying (if known),and ask the status of your application. If applicable, you can alsoinclude any updates to your candidacy or any relevant informationpertaining to your interest in the position.
